Photo and media release
Introduction
Clematis Paws documents its pop-up social experiences in West Palm Beach, Florida through photography and video so neighbors, partners, and future guests can see what these gatherings feel like. This Photo and Media Release explains how event media may be captured and used.
Photography and video
By attending a Clematis Paws event, you understand that photography and video recording may occur in public and semi-public event areas. Media may include images or recordings of participants, dogs, event signage, activations, and the surrounding neighborhood context.
Unless you opt out using the process below, you grant Clematis Paws permission to capture and use your likeness — and the likeness of any minor or dog under your care for whom you have authority — as described in this release.
How media may be used
You grant Clematis Paws a non-exclusive, royalty-free, worldwide license to use, reproduce, display, distribute, and create derivative works from photographs and video that include your likeness for legitimate Clematis Paws purposes, including:
- website, journal, and email updates about events and the Clematis Paws mission;
- social media posts on official Clematis Paws channels;
- event recaps, partner updates, and community storytelling;
- sponsor recognition materials where a sponsor's support is accurately represented;
- internal planning, training, and archival records.
Clematis Paws will not sell your likeness as stock photography or license it for unrelated third-party advertising without separate written consent. Counsel should confirm whether additional language is needed for commercial endorsements or paid partnerships.
You understand that no compensation is owed for use of event media under this release.
Minors and guardians
If a minor appears in event media, a parent or legal guardian must accept these terms on the minor's behalf. Clematis Paws asks that guardians supervise children at events and notify staff at check-in if they prefer the child not appear in close-up promotional media.
Opting out
If you prefer not to appear in close-up promotional photography or video, please notify the event check-in team when you arrive. Staff will provide a visible indicator when available and make reasonable efforts to avoid directed close-up shots of you or your dog in marketing materials.
Opting out may not be possible for incidental background appearance in wide crowd shots, public sidewalk settings, or safety documentation. We will still make reasonable efforts to respect your preference in curated posts and hero imagery.
You may also submit an opt-out or correction request after an event through the contact form. Include the event date, a description of the image if known, and the nature of your request.
Retention and removal requests
Clematis Paws retains event media only as long as reasonably necessary for the uses described above, subject to backup systems and platform retention policies. If you request removal of specific media featuring you prominently, we will review the request in good faith and take reasonable steps to remove or replace it in channels we control, where practicable.
General provisions
This release is intended to be read together with the Event Participation Waiver. If any provision is held invalid, the remaining provisions remain in effect.
Questions may be submitted through the contact form. Clematis Paws is based in West Palm Beach, Florida. Counsel should confirm the formal legal entity name, address, and governing-law language before this release is finalized.
